Common Problems

Why Photographers need a better billing system

📝

Writing manual bills is time-consuming after a shoot

After a long wedding or event shoot, the last thing you want is to type up an invoice by hand. You lose time and often forget to bill for add-ons like extra edited photos or travel.

💰

Clients delay payment without a formal invoice

A verbal price quoted on WhatsApp is easy for clients to forget or dispute. A professional PDF invoice with a due date and UPI QR code closes payment faster.

🧾

Managing advance and final payment is messy

Photography projects typically involve a booking advance and a balance payment. Tracking which clients have paid what requires a system — not just WhatsApp messages.

📸

Clients want a GST invoice for commercial shoots

Corporate clients and ad agencies booking commercial photography require a GST invoice with your GSTIN for their accounts department. Handwritten bills or Excel sheets won't do.

How Ozydo Helps

Built for Photographers — not generic business software

1

Advance + Balance Payment Tracking

Record the booking advance when received, then add the final balance payment when delivered. Ozydo shows the remaining due amount automatically.

2

WhatsApp Invoice Sharing

Generate a professional PDF invoice and share it directly on WhatsApp with your client — same screen, one tap. No email needed.

3

UPI QR on Every Invoice

Your UPI ID (GPay, PhonePe, Paytm) appears as a scannable QR code on the invoice. Clients pay in seconds at the shoot or delivery.

4

Package-Based Line Items

Create invoice line items for different packages — Basic Album, Premium Album, Drone Shots, Same-Day Edit — with different prices and optional GST.

5

Estimate / Quotation First

Send a quotation before the shoot with package options and terms. Convert it to a final invoice with one tap once confirmed.

6

Client Signature on Estimates

Get your client to digitally sign the estimate/quotation before the shoot — creating a clear record of the agreed scope and price.

GST for Photographers

Photography is a service under GST. If your annual revenue from photography exceeds ₹20 lakh, you must register for GST. SAC code for photography services is 998392. GST rate is 18%. Wedding photography for individual clients is generally B2C — your invoice may not need to show the client GSTIN unless they specifically require it.

How It Works

Create your first invoice in under 2 minutes

1

Add your photography business details

Enter your business name, GSTIN (if registered), UPI ID, and logo. This appears on every invoice you create.

2

Create a quotation for the client

List your packages — base shoot fee, number of edited photos, albums, reels, drone footage. Set a validity date and share on WhatsApp for approval.

3

Record the advance payment

When the client pays the booking advance, record it against the estimate. Ozydo shows the balance due automatically.

4

Raise the final invoice after delivery

Convert the accepted estimate to a final GST invoice after delivering the photos. Add any extras billed separately.

5

Collect the balance via UPI

Share the invoice on WhatsApp. The client scans the UPI QR or taps the GPay/PhonePe link and pays the balance instantly.

FAQ

Frequently Asked Questions

Do photographers need to charge GST?+
Only if your annual photography income exceeds ₹20 lakh (₹10 lakh in some North-East states). Below this threshold, you invoice without GST. Above it, you must register and charge 18% GST (SAC 998392) on your invoices.
How do I invoice a client for a wedding where I have multiple shooters?+
Create a single invoice from your business as the primary vendor. List line items for the various services — lead photographer, second shooter, drone, album printing — each with its own price. You can add a Notes section clarifying what each item covers.
Can I add my photography contract terms to the invoice?+
Yes. Ozydo has a 'Terms & Conditions' field on every invoice and estimate where you can add your usage rights, cancellation policy, delivery timeline, and other standard terms. They print at the bottom of the PDF.
How do I handle a partial refund if I cancel a shoot?+
Issue a credit note for the amount being refunded. This adjusts your invoice records and, if GST-registered, adjusts your GST liability accordingly. Note the refund in the invoice or send a WhatsApp message to confirm the amount.
